Click "Get started" on the homepage and answer 3 quick questions, then create your account. Your clinician will see your concern on your chart before the first visit.
I can't log in — what should I do?
Click "Forgot password" on the login page. You'll receive a magic-link email valid for 24 hours. If you don't see it, check your spam folder. If your account has been archived by the clinic, contact the front desk.
How do I cancel or reschedule?
Open Appointments in your patient dashboard, find the booking, and click Cancel. Some clinics require 24h notice — check your appointment confirmation email for the policy.
Is my data secure?
Yes. We comply with HIPAA (US), GDPR (EU), UK Data Protection Act 2018, PIPEDA (Canada), the Australian Privacy Act 1988, and every regional medical-record retention law (EU 5-20y, US 6-10y, UK 8-10y, etc). Notes, audio (AI scribe), and uploaded documents are encrypted at rest. You can request data export or deletion any time from your profile.
What is the AI scribe?
An optional AI-powered note assistant. When enabled, your clinician records the consultation (with your consent), and the AI generates a structured note draft for them to review. Audio is deleted from our servers within seconds of transcription unless explicitly kept.
How do I pay my invoice?
Open Invoices on your dashboard, click the invoice, and pick a payment method (card, BLIK, or transfer depending on what the clinic offers). PDF copies are available for your records.
Can I see my treatment plan?
Yes. Once your clinician completes the objective examination, "Treatment plan" appears in your sidebar. You can read it any time and print a copy.
I attend fitness classes. Are those visits part of my medical record?
No. Fitness sessions, class bookings, and assessments are kept in a separate non-clinical record (your wellness profile). They're NOT included in insurance claims for physiotherapy. The waiver of liability you sign for fitness is also legally distinct.
How do I hold or renew my membership?
Open "Fitness & wellness" in your sidebar > Membership card > Hold or Renew. Hold pauses the clock (within the plan's max-hold-days limit) and Renew extends your end date + generates a new invoice.
What if I want to delete my account?
Email the clinic and request deletion. Under GDPR your records will be deleted within 30 days, except where the clinic is legally required to retain (e.g. medical records up to 20 years in Poland).
Troubleshooting
The login page won't load (blank)
Hard-refresh (Ctrl+Shift+R or Cmd+Shift+R). If the page is still blank, you may be on a stale URL — close all tabs and go back to your clinic's main domain.
My calendar is empty even though I have bookings
Make sure you're logged in as the correct user. If you booked under a different email, log out and log in with that one. Front-desk staff can merge accounts on request.
Magic-link email didn't arrive
Check spam first. If still missing after 5 minutes: (1) Make sure you typed the email correctly, (2) Add @physiogenic.pl to your safe senders, (3) Ask the clinic to resend the invite.
AI scribe button is missing
Two possibilities: (1) The feature is off for your clinic — admin must enable it in /admin/settings, (2) The patient hasn't consented yet. The button only appears after consent is recorded.
Print dialog shows but no printers listed
This usually means your browser is blocking the popup. Allow popups for this site and click Print again. We use a popup window because hidden-iframe prints don't surface the OS printer dialog reliably.
Invoice PDF appears blank when downloaded
This is fixed in the latest version — downloads now save directly as a .pdf file instead of opening in a new tab. If you still see a blank page, clear your browser cache.
Toggle switches in Settings won't flip
Refresh the page once. If the issue persists after a hard refresh, please report to support@physiogenic.pl with the exact toggle name.
